Two ways to use email

Everything is set up on one page: Integrations → Channels → Email / SMTP. It has two main tabs.

Mailbox

Connect your business mailbox. You can then read and reply to email in Messages → Email.

Bulk sending

An outgoing mail server for campaigns and broadcasts. This is optional. A connected mailbox already sends your replies.

Connect your mailbox

  1. Go to Integrations → Channels → Email / SMTP and open the Mailbox tab.
  2. Under IMAP Settings (Incoming), enter your mail server, port, email address and password. For Gmail, the server is imap.gmail.com and the port is 993.
  3. Under SMTP Settings (Outgoing), enter the outgoing server and port. For Gmail, that is smtp.gmail.com and port 587.
  4. Add the name and email address your customers will see.
  5. Click Save & Connect, then Test connection.

New email now shows up in Messages → Email, next to your other chats.

Using Gmail or Google Workspace

There is no one-click "Sign in with Google" for email. You connect Gmail with an App Password. It is a special password Google makes just for BeeCastly. Do not use your normal Google password.

  1. Open your Google Account and go to Security.
  2. Turn on 2-Step Verification. Google only offers App Passwords when this is on.
  3. Open App passwords (or go to myaccount.google.com/apppasswords).
  4. Type a name such as "BeeCastly" and click Create. Google shows a 16-letter password.
  5. Copy it. In BeeCastly, paste it into the password field on the Mailbox tab (and on the Bulk sending tab if you use Gmail there too).

If you use Google Workspace and cannot see App passwords, ask your Workspace admin.

Set up bulk sending (optional)

  1. Open the Bulk sending tab on the same page.
  2. Pick your email provider. BeeCastly fills in the server for you.
  3. Enter your username, password, "From" name and "From" email. For SendGrid, use your API key as the password.
  4. Click Test & Save, then send a test email to yourself.

Send from your own domain

On the Bulk sending tab you can also add a domain you own, like mail.yourbusiness.com. BeeCastly shows the DNS records to add. Once they check out, campaigns send as you.

Send an email campaign

  1. Go to Campaigns → Broadcasts and start a new campaign. Pick Email.
  2. Write a subject and your message. Add {{name}} to greet each person by name.
  3. Choose who gets it: your contacts, contacts with certain tags, or a CSV list you upload.
  4. Send now or schedule it for later.

Tracking and unsubscribe

Opens: see who opened your email.
Clicks: see which links people clicked.
Unsubscribe link: campaign emails get an unsubscribe link if yours has none. Mail apps like Gmail can also show their own unsubscribe button. People who unsubscribe are left out of later campaigns.

Tip: ask your email provider how to set up SPF and DKIM for your domain. It helps your email reach the inbox instead of spam.
